Key Brains Tech Private Limited ("we", "us", or "our") operates Invoice For Business, available at invoiceforbusiness.com and as our Android mobile application (together, the "Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using the Service, you agree to the practices described below.

1. Information We Collect

We collect the following categories of information:

  • Account information you provide when you register, such as your name, email address, phone number, and password. Passwords are stored only in an encrypted (hashed) form and are never visible to us.
  • Business and invoice content you enter to create documents, including your business details, logo, GST registration number (GSTIN), client and buyer details, item and pricing information, and the invoices, receipts, and quotations you generate.
  • Device and notification data. When you enable notifications in our app, we store a Firebase Cloud Messaging (FCM) registration token that identifies your device so we can deliver notifications. We may also record your device or browser type and app version.
  • Usage and log data such as your IP address, sign-in activity, pages or screens viewed, and timestamps, collected automatically to operate and secure the Service.
  • Cookies and session data used to keep you signed in and to remember your preferences (see Section 5).

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service and your account;
  • Create, store, and let you download or share your invoices, receipts, and quotations;
  • Send transactional communications (such as OTPs, verification and password-reset emails) and notifications you have opted into;
  • Secure the Service, prevent fraud and abuse, and troubleshoot problems;
  • Comply with legal obligations and enforce our terms.

3. Push Notifications

Our mobile app uses Firebase Cloud Messaging (FCM), a service provided by Google, to deliver push notifications. To do this we store a device token linked to your account. You can turn notifications off at any time from your device settings (Settings → Apps → Invoice For Business → Notifications) or, in a web browser, from your browser's site settings. Google's handling of this data is governed by the Google Privacy Policy.

4. Advertising

The Service may display advertisements, including our own in-house promotional banners, which help us keep the core Service free. Where third-party advertising is used, those providers may process limited data in accordance with their own privacy policies.

5. Cookies and Similar Technologies

We use strictly necessary cookies to keep you signed in and protect your session, and functional cookies to remember your preferences. You can control cookies through your browser settings, but disabling necessary cookies may prevent you from signing in.

6. Third-Party Services

We rely on trusted third parties to operate the Service, including:

  • Google Firebase — to deliver push notifications to the app;
  • Our email delivery provider — to send account emails such as OTPs, verification, and password resets;
  • Our web hosting provider — to host the website, app back-end, and your data.

These providers receive only the information needed to perform their function and are required to protect it.

7. How We Share Information

We do not sell your personal information. We share information only:

  • With the service providers described above, so they can operate the Service on our behalf;
  • When required by law, regulation, legal process, or a valid government request;
  • To protect the rights, property, or safety of Key Brains Tech Private Limited, our users, or the public;
  • In connection with a business transfer (such as a merger or acquisition), subject to this Policy.

8. Data Security

We implement appropriate technical and organisational measures to protect your data, including encrypted (HTTPS) connections and hashed password storage. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

9. Data Retention

We keep your information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. When you delete your account, we delete or anonymise your personal information within a reasonable period, except where retention is required by law.

10. Your Rights and Choices

Depending on your location, you may have the right to access, correct, export, or delete your personal information, and to withdraw consent. To exercise these rights, or to request deletion of your account and data, contact us at support@invoiceforbusiness.com. We will respond within the time required by applicable law, including India's Digital Personal Data Protection Act, 2023.

11. Children's Privacy

The Service is intended for business users and is not directed to children. We do not knowingly collect personal information from anyone under the age of 18. If you believe a minor has provided us information, please contact us and we will remove it.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, notify you within the Service. Your continued use of the Service after changes take effect means you accept the updated Policy.
